Job Description

Our client is a family-owned facilities management company with a strong reputation for reliability, integrity, and personalized service. As they continue to grow, they are looking for an organized and proactive Office Coordinator to support our daily operations and help keep our office running smoothly. The Office Coordinator plays a key role in ensuring the efficiency and organization of our office. This position is ideal for someone who enjoys variety in their workday, takes pride in keeping things in order, and thrives in a fast-paced, team-oriented environment.

Key Responsibilities:

  • Greet and assist visitors, clients, and vendors in a professional and friendly manner
  • Answer and direct phone calls and emails
  • Perform general administrative tasks including filing, scanning, and document organization
  • Enter and process invoices and assist with basic data entry for accounting purposes
  • Maintain office supplies and place orders as needed
  • Support field teams with project documentation and logistics
  • Help ensure the office environment is clean, organized, and welcoming

Qualifications:

  • Three to five years of previous experience in office administration or coordination
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks and prioritize effectively
  • Experience with invoice entry or basic accounting systems is a plus
  • Familiarity with facilities management or construction industry is helpful but not required

Hours: 8am to 4:30pm, Monday to Friday

Location: Largo, FL 33773 (Onsite only)
